NASFAT Youth Conference: Rules and Regulations
1. Registration and Attendance
- 1.1. Registration:
- All participants must register online prior to the event. On-site registration will be available, but pre-registration is highly encouraged to ensure smooth entry.
- Participants must provide accurate information during registration, including emergency contact details.
- 1.2. Attendance:
- Participants are required to attend all scheduled sessions, workshops, and activities.
- Attendees should arrive at least 15 minutes before the start of each session to facilitate timely commencement.
- 1.3. Identification:
- Participants must wear their conference badges at all times for identification and access to conference areas.
- Lost badges should be reported immediately to the registration desk for reissuance.
2. Code of Conduct
- 2.1. Respect:
- All attendees must treat each other with respect and courtesy. Harassment, discrimination, or any form of inappropriate behavior will not be tolerated.
- Respect for cultural, religious, and personal differences is mandatory.
- 2.2. Participation:
- Participants are encouraged to actively engage in discussions and activities. Disruptive behavior during sessions, such as speaking out of turn or interrupting presenters, is prohibited.
- Questions and comments should be concise and relevant to the topic being discussed.
- 2.3. Dress Code:
- Attendees should dress modestly and appropriately in accordance with the values of NASFAT. Business casual or traditional attire is recommended.
- Attire should be neat, clean, and free from offensive imagery or language.
- 2.4. Social Media and Communication:
- Participants should use social media responsibly. Posting defamatory, offensive, or misleading information about the conference or its participants is prohibited.
- Official conference hashtags and handles should be used when sharing content related to the event.
3. Safety and Security
- 3.1. Emergency Procedures:
- Familiarize yourself with the venue's emergency exits and procedures. In case of an emergency, follow the instructions of the event staff and security personnel.
- Emergency contact numbers will be provided at the beginning of the conference; save these numbers in your phone.
- 3.2. Personal Belongings:
- Participants are responsible for their personal belongings. NASFAT is not liable for any lost or stolen items.
- A lost and found desk will be available at the venue; report any lost items immediately.
- 3.3. Prohibited Items:
- Weapons, illegal substances, and any items deemed dangerous or disruptive are strictly prohibited.
- Bags and personal items may be subject to security checks at the entrance.
4. Sessions and Workshops
- 4.1. Punctuality:
- Arrive on time for all sessions and workshops. Late entry may be restricted to avoid disruptions.
- If you must leave a session early, do so quietly and without disturbing others.
- 4.2. Recording and Photography:
- Unauthorized recording and photography of sessions are not allowed. Official photographers will be present to capture moments during the event.
- Participants may take personal photos in designated areas and during breaks, provided they do not infringe on the privacy of others.
- 4.3. Mobile Phones:
- Mobile phones should be on silent mode during sessions. Taking calls or texting during sessions is discouraged.
- Use of mobile devices should not disrupt the flow of the conference or distract other participants.
- 4.4. Workshop Etiquette:
- Actively participate in workshops and respect the facilitators and fellow attendees.
- Follow instructions and guidelines provided by workshop leaders.
5. Accommodation and Meals
- 5.1. Accommodation:
- For participants provided with accommodation, respect the property and follow the house rules.
- Any damages or misconduct in accommodation facilities will be the responsibility of the participant.
- 5.2. Meals:
- Meals provided during the conference must be consumed in the designated dining areas. Outside food and beverages are not allowed.
- Inform the organizers in advance of any dietary restrictions or allergies to ensure appropriate meal arrangements.
- 5.3. Cleanliness:
- Maintain cleanliness in all areas of the venue, including accommodation, dining, and conference halls.
- Dispose of waste in designated bins and recycle where possible.
6. Feedback and Complaints
- 6.1. Feedback:
- Participants are encouraged to provide feedback about the conference through the provided channels. Feedback forms will be distributed at the end of the conference.
- Constructive feedback is valued and will be used to improve future events.
- 6.2. Complaints:
- Any complaints should be directed to the event organizers or staff members, who will address the issues promptly and fairly.
- Confidentiality will be maintained for all complaints, and appropriate actions will be taken to resolve them.
7. Compliance and Enforcement
- 7.1. Compliance:
- By attending the conference, participants agree to comply with all the rules and regulations stated herein.
- Compliance with local laws and regulations is mandatory at all times.
- 7.2. Consequences:
- Violation of any rules may result in removal from the conference without a refund, and in severe cases, may involve legal action.
- Any participant found violating rules or engaging in misconduct will be subject to disciplinary actions, which may include warnings, suspension from sessions, or expulsion from the event.
